Who this policy covers
Forum Kenya is the members app for Forum Kenya Development Foundation. It is published by KIMNET MEDIA LIMITED. This policy explains how member information is handled when you sign in, view records, communicate with officers and manage your profile. Forum Kenya manages membership information; Kimnet Media provides app development and technical support.
Information used by the app
We use your name, membership and account numbers, registered phone number, identification details, group membership and next-of-kin details to identify your account and provide membership services. Your account can contain savings, shares, loans, advances, repayments, charges, bonuses, guarantor and collateral information, meeting attendance, and payment or Paybill records. We also handle messages you send to officers and profile photographs you choose to submit.
Sign-in and device information
Phone verification codes, PIN authentication, session tokens, an app-generated device identifier and device name support sign-in and account security. Connection information, including IP addresses and service logs, may be processed by the servers that deliver the service. Keep your PIN and verification codes private.
Photographs and permissions
When you choose to update your photograph, the app uses a camera capture or a photo you select. On-device face detection checks that the image contains one suitable, clearly visible face before the accepted photo is uploaded to your member profile. This check assesses image suitability; it does not identify you by comparing your face with a biometric database. You can use the profile controls to remove your uploaded selfie. Notification permission is used for member notices and reminders. The app does not request access to your contacts, call history or precise location.
How information is used
Information is used to display your membership and financial records, reconcile payments, respond to enquiries, maintain accurate contact details, deliver notices and meeting reminders, and protect accounts. The loan proforma calculator performs its calculations on your device. Entering an amount in that calculator does not submit a loan application.
Who can receive information
Authorised Forum Kenya officers and administrators access information needed for their duties. Technical support, hosting and messaging providers process information needed to operate the service. Payment providers, including Safaricom M-Pesa where used, process payment details for the relevant transaction. Information may also be disclosed where required by law or to address fraud and security incidents. Public county summaries do not display individual member records. External services opened through links, including Google Play, WhatsApp and Telegram, apply their own privacy policies.
Storage and security
The app communicates with its services over HTTPS. Session information and app preferences are stored on your device; server records are held in the systems supporting Forum Kenya. Access is restricted through authentication and staff permissions. No system can guarantee absolute security. Protect your phone and contact us promptly if you suspect unauthorised account access.
Retention and deletion
Membership and financial records are retained while needed to administer membership, reconcile transactions, resolve disputes, prevent fraud or meet applicable record-keeping obligations. Information no longer needed for these purposes should be deleted or anonymised. You may request deletion of your app account and associated personal data using the contact below. Some transaction, accounting or legal records may need to be retained; we will explain applicable exceptions when responding. Uninstalling the app does not delete server records or close your membership.
Your choices and requests
You may ask to access or correct your information, request account and data deletion, or raise a privacy concern. You can edit supported profile details in the app and turn off notifications in Android settings. For a request, email info@forumkenya.org with the subject “Forum Kenya privacy request” or “Forum Kenya account deletion”. Include your name, membership account number and the request. Do not email your PIN, verification code or a full identification document. We may verify your identity before acting. For next-of-kin or guarantor details, ensure the person knows their information is being provided to Forum Kenya.
